Safeguarding & Privacy Policy
At EcoTech Explorers, we believe every young person deserves a chance to learn and create in an environment that feels safe, respectful and supportive. We endeavour to follow good practices that help protect our Explorers during our activities.
Our Commitment
We are here to inspire curiosity, creativity and a love of STEM. While we are not responsible for childcare or supervision, we endeavour to create safe, inclusive spaces online and in person.
- We work with parents, guardians and educators to ensure that any in-person sessions or events have appropriate support and supervision, or that these are provided by the hosting venue when applicable.
- We do not knowingly collect personal information from children without a parent’s or guardian’s consent.
- We encourage parents and guardians to take an active interest in their child’s involvement with our programmes and to be present when their child interacts with us online.
- For in-person activities delivered directly by us, a parent, guardian or carer must accompany and remain responsible for their child at all times, unless the session is hosted by a school, club or similar venue, in which case safeguarding and supervision remain the responsibility of the hosting institution or organisation.
- We do not share personal stories, images or project details publicly without clear permission from a parent or guardian.
- We reserve the right, at our sole discretion, to remove or restrict any content or participant from our community spaces if we consider their actions or contributions pose a risk of harm, distress or disruption to others, or if they breach our community guidelines.
Photography and Recording
We may take photographs or short video clips during our workshops to celebrate our Explorers’ achievements and to share our activities with our community. We will always request clear permission from a parent or guardian before using any images, recordings or personal stories publicly. Participation in our programmes is never dependent on agreeing to be photographed or recorded. Parents and guardians may withdraw their consent at any time by contacting us.
We also ask parents and guardians to respect the privacy of other children and not to share photos or videos of other participants without their permission.
Community Standards & Behaviour
We expect everyone who joins our programmes, events or online spaces to treat each other — and our team — with respect, care and fairness. Bullying, harassment, discrimination, hate speech, threats or unsafe behaviour of any kind will not be tolerated. We also do not accept any content, actions or posts that could cause harm, distress or disruption to our community, including offensive language, explicit material, spamming, misleading information or unauthorised promotions.
Misuse of our platforms for scamming, unsolicited commercial activity or exploitation of other members is strictly prohibited. Anyone found engaging in such behaviour may be restricted, removed or banned at our sole discretion.
If you see or experience anything that concerns you, please report it to us as soon as possible. We will respond at our discretion and take any action we consider necessary to help keep our community safe, welcoming and respectful.
Data and Privacy
We only collect the information we need to run our programmes and communicate with our community — such as your name, email address and any project stories you choose to share. We aim to follow UK data protection laws (including GDPR) and do not sell or misuse your data. We stay informed about good privacy and security practices through trusted industry communities. You can ask to update or remove your information from our records at any time by contacting us at outreach@ecotechexplorers.org.
Our Promise
We do not promise to prevent all risk, but we will always endeavour to do our best to keep our community spaces secure, friendly and supportive. By participating in EcoTech Explorers activities, you agree to work with us to maintain these values.
If you have any questions about this policy or need to raise a concern, please email us at outreach@ecotechexplorers.org.
